Waiver & Release of Liability

PLEASE READ THIS FORM CAREFULLY AND BE AWARE THAT BY SIGNING THIS WAIVER AND RELEASE AND PARTICIPATING IN THE UNITED WAY QUAD CITIES (“UNITED WAY”) EVENT DESCRIBED BELOW (THE “EVENT”), YOU WILL BE EXPRESSLY ASSUMING THE RISK AND LEGAL LIABILITY AND WAIVING AND RELEASING ALL CLAIMS FOR INJURIES, DAMAGES, OR LOSS WHICH YOU MIGHT SUSTAIN AS A RESULT OF ANY AND ALL ACTIVITIES CONNECTED WITH AND ASSOCIATED WITH HOSTING/PARTICIPATING IN THE EVENT.

I, the undersigned Volunteer, do hereby agree to participate/engage in the Event and understand that participation in the Event may involve inherent costs, risks, dangers, and hazards, which may occur without warning, and neither the United Way nor any of the other sponsors can guarantee my personal safety or the safety of any of my property.  BY EXECUTION OF THIS RELEASE, I REPRESENT AND WARRANT THAT I HAVE READ AND UNDERSTAND THIS FORM, AND FREELY ACCEPT AND ASSUME THE RISK THAT MAY BE SUFFERED, INCLUDING, BUT NOT LIMITED TO PROPERTY DAMAGE, PERSONAL INJURY OR EVEN DEATH, AND AGREE TO INCUR ALL COSTS OR EXPENSES ASSOCIATED WITH PARTICIPATING IN THE EVENT, not only in the ways described herein, but also in unknown/unexpected ways.  Neither the United Way, nor any sponsors of the Event, have any control over the Event or any Participant’s satisfaction with the Events.

TO THE FULLEST EXTENT PERMITTED BY LAW, I HEREBY agree to release, indemnify, hold harmless and defend (including costs and attorneys’ fees) the United Way, and/or its employees, agents, directors, officers, volunteers, sponsors, supervisors and/or organizers (collectively known as “members”) from any liability or claim of liability arising from or in connection with any loss, damage, illness, injury or other claim to persons or property arising out of and/or resulting from my participation in the Event,  whether caused by my negligence or misconduct or otherwise.  I agree that this release shall bind my heirs forever, and further understand and acknowledge that neither the United Way, nor any other sponsor of the Event, is an insurer of my personal safety or property.  This agreement to release, indemnify, hold harmless and defend extends to all loss and/or liability on the site whether or not said loss and/or liability occurs while performing any tasks specifically included in the requested projects.

I agree the United Way has my permission to photograph/video myself and/or the activities at the Event and utilize said photographs/videos for any lawful purpose. I also give United Way permission to email me by listing my email address.

THE UNDERSIGNED HAS READ AND VOLUNTARILY SIGNED THIS RELEASE AND WAIVER OF LIABILITY, COVENANT NOT TO SUE, AND FURTHER AGREES THAT NO ORAL REPRESENTATIONS, STATEMENT OR INDUCEMENTS APART FROM THE FOREGOING WRITTEN AGREEMENT HAVE BEEN MADE.

The Administrative Associate plays a critical role in the effectiveness of the CEO, COO, and senior leadership team. This high-trust, high-impact role supports executive operations, donor stewardship, and daily administration to ensure the organization runs smoothly and that relationships—with donors, partners, and internal teams—are nurtured with care.

Essential Job Functions

Executive & Leadership Support

  • Serve as the primary administrative partner to the CEO and COO—managing complex calendars, scheduling meetings, and ensuring timely follow-up
  • Prepare executive correspondence, presentations, and confidential documents with accuracy and discretion
  • Coordinate logistics for board and leadership meetings, including scheduling, materials preparation, minute-taking, and action-item tracking
  • Act as a liaison between executive leadership and internal/external stakeholders to ensure timely and professional communication

Tocqueville Donor Stewardship & Pledge Management

  • Serve as the internal point person for Tocqueville Society and Emerging Leaders Legacy Society pledge management—coordinating with Resource Development and Finance to track multi-year commitments, payments, and acknowledgments
  • Maintain accurate donor records and ensure timely, personalized communication—pledge confirmations, reminders, thank-you messages, and impact updates
  • Collaborate with the CEO and CSO to deliver exceptional donor experiences, supporting strategic follow-up, curated outreach, and preparation for meetings and events
  • Monitor donor preferences and proactively identify opportunities to strengthen stewardship, retention, and satisfaction

Office & Administrative Operations

  • Oversee daily office functions: mail handling, supply management, document prep, scanning, filing, and vendor communication
  • Maintain a clean, well-stocked, and professional office environment for staff and visitors
  • Coordinate outgoing mailings—letters, invitations, and donor communications
  • Provide administrative and phone backup when needed and assist with special projects across teams
  • Support select finance functions (e.g., deposits) to ensure appropriate separation of duties
  • Deliver excellent customer service to internal and external stakeholders, helping to ensure a positive and productive organizational culture

Experience/Other Requirements:

  • 2–4 years of experience in administrative, executive support, or operations roles

  • Strong customer service orientation with a warm, professional demeanor

United for Schools Site Coordinator - Wilson Middle School

The United for Schools Site Coordinator plays a pivotal role in advancing the United Way Quad Cities (UWQC) mission through collaboration, community activation and targeted initiatives at partner Title 1 public schools.

As the Site Coordinator, this individual will be dedicated to accelerating student achievement and empowerment in Wilson Middle School Moline. He/She will foster meaningful partnerships with school staff, service providers, businesses, faith-based organizations and engaged individuals and groups to create a powerful network of support for students, ensuring they receive the resources and opportunities necessary for success.

The Site Coordinator working at Wilson is responsible for implementation of integrated student services, wrap-around support and intervention plans in partnership with Moline Coal Valley School District. The Site Coordinator will work directly with students and families to improve attendance, academics, and behavior, connecting school content to real world experiences, reinforcing positive patterns, character development, and discovering intrinsic motivation.

Essential Job Functions:

  • Build and lead a school support team that collaborates with school administrators, teachers, and support staff in the implementation of the Communities In Schools Model. This process will include the building and nurturing of school staff relations, relationships between school and community, and the engagement of volunteers for the delivery of services, as well as leading the school support team in end-of-grading period and end-of-year reporting.
  • Lead the annual CIS school needs assessment process. This process ensures the creation of a robust school needs assessment that includes data from overall school improvement initiatives, surveys, and discussions with staff, parents and students, and results from the previous year.
  • Lead the development and implementation of the CIS school support plan. The plan will contain a measurable CIS-specific goal that clearly helps support the achievement of at least one goal in the school improvement plan. It will clearly outline plans for delivering school wide Tier I supports, targeted small group Tier II supports, and individualized Tier III supports aligned with this goal and student goals. It will also outline a process for monitoring, adjusting and evaluating and reporting program effectiveness.
  • Maintain a student caseload. Ensure that students referred for caseload have needs and goals that align with the overall school goal. Conduct individual needs assessments, develop Individual student support plans, and coordinate the delivery of tiered supports to students on caseload. Monitor and adjust services based on data, document goal achievement.
  • Lead the monitoring and adjustment of services. Lead the school support team in the systematic collection of program data, regularly monitoring, and adjusting services as needed.
  • Participate in school-wide events, functions and duties as available and appropriate to role.
  • Coordinate the scheduling, implementation and follow up for United Way education supports offered in the building.
  • Build strong relationships with students, teachers and administrators.
  • Establish and maintain relationships within the community that benefit the school and students.
  • Actively engage stakeholders to support program planning and act as an advocate for students to encourage program participation and student achievement.
  • Model and utilize best practices for family engagement to increase parent involvement and connectivity.
  • Ensure that data is collected, monitor and analyze outcomes related to school goals and benchmarks of United for Schools determined in UFS Action Plan, such as: attendance, student discipline referrals, academic achievement, parental involvement, and program effectiveness.
  • Prepare routine impact reports highlighting accomplishments and progress towards shared goals with school, investors, volunteers and community partners.
  • Analyze data to guide ongoing individual service delivery and programmatic evaluations.
  • Effectively manage resources, including program site budget, volunteers, partners, grants, and meeting all reporting requirements.
  • Manage the recruitment, orientation and training of service provider and volunteers.
  • Provide timely and ongoing recognition for investors, volunteers and partners.

Requirements:

Education/Training:

Bachelor’s degree and 3 years of equivalent experience in education, social work or related fields.

  • Ability to respond to the needs of students and to meet those needs using measures that are appropriate and understandable.
  • Ability to react quickly and adapt to changing situations with minimum disruption.

The Donor Services Associate plays a critical role in advancing United Way Quad Cities’ mission by ensuring accurate donor data, supporting donor engagement and recognition. This position provides administrative support to the Resource Development team, helping maintain a high standard of service for donors, partners, and internal stakeholders.

Essential Job Functions:

Donor Database Management

  • Accurately enter, update, and maintain donor and pledge information in the database.
  • Perform regular audits and data clean-up to ensure integrity and accuracy.

Administrative Support

  • Provide backup and overflow support to the Donor Services Director.
  • Prepare reports, spreadsheets, and written correspondence as needed.
  • Assist with general office tasks, including answering phones, scheduling, and mailings, answering general office email mailbox.
  • Support preparation and distribution of large and bulk mailings.

Donor Acknowledgment & Recognition

  • Assist in the generation and distribution of donor thank-you letters and communications.
  • Support the implementation of donor recognition activities and stewardship efforts.

Annual Updates & Maintenance

  • Maintain and update Contributor Choice materials annually.
  • Help ensure accuracy of online donor and volunteer interfaces.
